Unlocking a Unit Summary

Overview

Unlocking a Unit Summary allows authorised users to make changes when additional evidence needs to be linked or an existing assessment requires updating. This ensures the learner’s record remains accurate and complete.

Who Can Use This Feature?

This feature can be used by the following user roles:

  • Centre Manager
  • Internal Quality Assurer and Trainee
  • Assessor and Trainee

Steps to Unlock a Unit Summary

Step 1 – Access the Learner’s Portfolio

Navigate to the learner’s portfolio through your homepage or learner list.

Step 2 – Open the Unit Summary

Scroll to the Unit Summaries section and click the Unit Title to open it.

Step 3 – Unlock the Unit Summary

Click the Padlock icon in the top right corner of the page.

Step 4 – Assign Access

Select the user who should receive access and provide a reason for unlocking.

Step 5 – Confirm

Click Unlock. The selected user will receive a task notification confirming that the Unit Summary has been unlocked.

Additional Options

  • Add new evidence if further proof is required.
  • Update or replace an existing assessment linked to the unit.

Troubleshooting

Issue: The padlock icon is not visible
Solution: Ensure you have one of the following roles: Centre Manager, Assessor, IQA, or Trainee where applicable.

Issue: The selected user cannot see the unlocked summary
Solution: Ask the user to refresh their task list or log out and back in.

Tip: Only unlock a Unit Summary when updates are necessary. Keeping summaries locked helps maintain assessment integrity and version control.
