Enable the PICSWeb integration

Overview

The PICSWeb integration relies on an API Token, which can be provided to any Onefile Centre Manager. This token enables secure communication between PICSWeb and Onefile Eportfolio. Once enabled, PICSWeb can automatically enrol learners into Onefile and pull progress data back into PICSWeb once per day.

Requesting an API Token

To request an API Token for use with PICSWeb, submit a support ticket to Onefile Support. Only Centre Managers can request and receive an API Token.

Steps to Enable the Integration

  1. Log into PICSWeb.
  2. Click Integrations from the left navigation menu.
  3. Select OneFile.
  4. Click Settings.
  5. Enter the Customer Token provided by Onefile.
  6. Select the Live Environment (or Beta/Practice if using a training system).
  7. Enable the Integration Enabled toggle.
  8. Click Save.

PICSWeb Sandbox Environments

If you have a training or sandbox PICSWeb installation, select the Beta or Practice environment. Make sure you request a specific API token from Onefile Support for the correct environment.

What Happens After Enabling the Integration?

  • You will be able to enrol learners from PICSWeb directly into Onefile with a single click.
  • Any progress or review updates made in Onefile will be automatically synced back to PICSWeb once per day.
  • Learner records remain linked across both systems for continuous synchronisation.

Tips & Notes

  • The API Token is environment‑specific — ensure you use the correct one.
  • Only Centre Managers should manage or update the API Token.
  • Daily syncing from Onefile to PICSWeb occurs automatically; no manual triggering is needed.
