How Power BI Permissions and Security Work

Overview

The Power BI Integration uses Microsoft's User Owns Data model, meaning users authenticate with their own Microsoft account when accessing reports.

This ensures Power BI permissions continue to be managed entirely within Microsoft.

How Access Is Controlled

  • Users sign in using their own Microsoft account.
  • Workspace permissions remain managed in Power BI.
  • Row-level security remains controlled in Power BI.
  • Report sharing remains controlled in Power BI.

Does Onefile Store My Data?

No.

Onefile stores only:

  • Display Name
  • Entra Tenant ID
  • Workspace ID

Onefile does not store:

  • Power BI report data
  • Microsoft credentials
  • Service account passwords
  • Power BI datasets

What Happens If a User Doesn't Have Access?

If a user attempts to open a report they do not have permission to access, they will see a message instructing them to contact their administrator.

Users can also change Microsoft accounts if they signed in using the wrong account.

Tips & Notes

  • Permissions are managed entirely within Microsoft.
  • Onefile does not override or duplicate Power BI permissions.
  • Changes made in Power BI are reflected automatically within Onefile.
