Overview
If a learner in Onefile Eportfolio hasn't been automatically matched to a learner in Cognassist, Centre staff can create the learner directly from the Cognassist page. This also sends an assessment invitation to the learner.
What's Changed?
From Wednesday 18 November 2026, the learner's ULN is now sent to Cognassist when you create the learner.
Steps to Create a Cognassist Learner
- Open the learner's Cognassist page. If the learner isn't yet matched, you'll see Create Learner and Send Assessment Invite.
- Select Programme Level and End Date — these must be chosen manually.
- Click Create Learner and Send Assessment Invite. This creates the learner record in Cognassist and sends them an assessment invitation email.
What Information Is Transferred?
The learner details already held in Onefile Eportfolio are shown on the Cognassist page and transferred automatically — now including the learner's ULN — except Programme Level and End Date, which you select manually.
Tips & Notes
- During creation, Onefile sends the email address of the learner's primary tutor to Cognassist. The tutor must already exist in Cognassist, and their email in Onefile must match the one in Cognassist, or a warning appears.
- Choose Programme Level and End Date before creating the learner.
- Matched learners show their Cognassist assessment data in their portfolio straight away.
Troubleshooting
| Issue | What to check |
|---|---|
| Error when creating the learner | Check the learner's Email Address, Date of Birth and Postcode are correct and complete. |
| Tutor warning appears | The tutor must exist in Cognassist and their Onefile email must match the one held in Cognassist. |
