Creating Providers and linking to Learners

Overview

Providers can be created and linked to learners to ensure accurate reporting, compliance, and centre‑wide visibility in Onefile Eportfolio. Providers represent the organisations delivering training or contributing to the learner’s programme.

Permissions

Who Can Use This Feature?

This feature can be used by:

  • Centre Manager
  • User Manager
  • Internal Quality Assurer (with permission)
  • Assessor (with permission)

Required Permission

  • Manage learner accounts

Steps

Create a New Provider

  1. Click Centre on the left-hand navigation bar.
  2. Click Look‑up Tables.
  3. Select Provider.
  4. Click Create Provider.
  5. Enter the Provider Name.
  6. Click Save.

Link a Provider to an Existing Learner

  1. Click Users on the left-hand navigation menu.
  2. Click the Learner Episodes tab.
  3. Locate the learner.
  4. Click the Episode button.
  5. Scroll to the Provider field.
  6. Select the correct Provider from the drop‑down list.
  7. Click Save.

Providers can also be selected when creating a new learner account.

Tips & Notes

  • Top Tip: If you cannot see the correct Provider in the drop‑down list, click Manage Providers to create a new one.
  • Assessors with the correct permissions can also access the Manage Providers option.
  • Provider details can be edited or archived at any time from Look‑up Tables.

Please note that the terminology used in this article may be different depending on your Centre.
